How to View, Add, Edit, and Manage Filenotes in Qunote

Filenotes in Qunote are essential for recording all clinical notes, time entries, and interventions related to a client. Every activity, consultation, or interaction is logged as a filenote, ensuring that all relevant information is captured with timestamps, expenses, and travel details.

What Are Filenotes in Qunote?

Filenotes are records of any intervention, contact, or service provided to a client. These notes are stored in the client’s file and contain:

  • Date and time of the activity
  • Duration of the activity
  • Travel time and expenses (if applicable)
  • The clinician or professional who performed the service
  • Notes on the intervention or activity
  • Chargeable status (whether the activity is billable)
  • Privileged status (whether the filenote is confidential)
 

Viewing Filenotes in Qunote?

To view filenotes, follow these steps:

  1. Navigate to the Client’s File

    • Click on the client’s name from your dashboard or search for them using the search bar.
    • Select the Filenotes section from the left-hand menu.

  2. Click on a Filenote

    • Clicking on a filenote will expand it, showing details such as clinical notes, expenses, duration, and author.

  3. Expand All Filenotes

    • To view all filenotes at once, click the “Expand All” button.

  4. Use Filters to Find Filenotes

    • You can filter filenotes by:
      • Keyword (search for specific words within the filenote)
      • Date range (find notes within a certain timeframe)
      • Author (filter by the person who created the note)
      • Category (such as travel, consultation, or therapy)
      • Chargeable status (view only billable notes)

Adding a Filenote in Qunote

To add a filenote, follow these steps:

  1. Go to the Filenotes Section

    • Navigate to the client’s profile and select Filenotes from the menu.
  2. Click “Add Filenote”

    • You’ll see a form where you can enter details about the activity.
  3. Enter the Required Details:

    • Client Name (Pre-filled with the selected client)
    • Date and Time (When the activity took place)
    • Title (Brief summary, e.g., “Follow-up call with client”)
    • Details (Full description of the activity, assessment, or intervention)
    • Duration (Time spent on the activity)
    • Travel & Mileage (If applicable, enter travel time and mileage)
    • Chargeable Status (Is this a billable activity?)
    • Privileged Status (Should this note be restricted?)
    • Author (If entering on behalf of another team member, select their name)
  4. Attach Documents (Optional)

    • Click “Attach Document” to link any supporting files (e.g., assessment reports, invoices, receipts).
  5. Save the Filenote

    • Click “Save & Close” to finalize the filenote. The entry will now appear in the client’s records.

Editing & Deleting Filenotes

To edit a filenote:

  • Click on the filenote you want to edit.
  • Select “Edit Filenote” in the top-right corner.
  • Make changes and click “Save”.

To delete a filenote:

  • Open the filenote.
  • Click “Delete” (⚠️ Deleted filenotes cannot be recovered).

Exporting Filenotes

You can export filenotes for external review or record-keeping.

  1. Click the “Filter & Export” button at the top of the filenotes list.
  2. Select the filters for the filenotes you need.
  3. Choose an export format (CSV or PDF).
  4. Click “Download”
